Connect your email and calendar

Connect Gmail or Outlook and Dopia rebuilds your CRM from the past year of conversations — what arrives, what stays private, and how to disconnect.

This is the one step everything else depends on. Connecting your mailbox and calendar is what turns an empty account into a working CRM, and it takes about ninety seconds.

Before you begin

You need a Google Workspace or personal Gmail account, or a Microsoft 365 or Outlook.com account. One assistant binds to one provider — Gmail or Outlook, not both.

Connect

Open Settings → Connections

From your profile at the bottom of the sidebar, open Settings, then the Connections tab. (During onboarding this is the same step, in the same place.)

Choose your provider

Pick Google or Microsoft. You are sent to your provider to sign in and approve access.

Grant access

Approve the requested permissions. Dopia uses them to read your mail, draft and send on your behalf when you ask, and sync your calendar — the narrowest access that lets your assistant work.

What happens next

Three things start at once:

  • Backfill. Dopia reads roughly the past year of mail and meetings and turns it into companies, contacts and deals — the relationships you already have, already filed. This is why there is no import step.
  • Calendar sync. Your meetings and schedule are watched from then on, which is what makes meeting prep and debriefs possible.
  • Your booking link. A personal scheduling page is created so people can grab time with you without the back-and-forth.

The first pass takes a few minutes. When it finishes you get a report on Your desk saying what arrived.

What stays private

Your assistant is bound to you: nobody else in the workspace sees your mailbox or your calendar. What becomes shared is the record — the company, the contact, the deal and its memory — not your inbox.

Disconnecting

Same place, Settings → Connections. Disconnecting stops all future capture immediately. Records already built stay; nothing new arrives, and your assistant loses the identity it was sending from.

Troubleshooting

Nothing appeared after connecting. The backfill runs in the background and reports when it finishes. If an hour passes with no report, disconnect and reconnect — a half-granted permission set is the usual cause.

Meetings are not showing under Coming up. Check that the calendar permission was granted, not just mail. Both are requested together, but some providers let a user approve them separately.
